Stop chasing your suppliers with spreadsheets by email
Every campaign ends the same way: you email a spreadsheet to 80 suppliers, half never reply, others send it back with the columns changed, and the certificate turns up weeks later in another thread. In Dcycle you import your list, send the questionnaire to all of them at once and each supplier answers in its own portal, with the document attached to its answer. You know who has replied, who hasn’t and what each one is missing.
- One send for all your suppliers
- Every answer with its document
- Responded, pending or expired
- Validate or request changes

Who asks you for supplier data and where it gets stuck
More and more of the data you are asked for isn’t yours: it belongs to your supply chain. And it almost always gets stuck in the same place, the inbox.
From a spreadsheet in your inbox to a validated answer
Send the questionnaire to all your suppliers at once
In the project’s Suppliers tab you import your list or add suppliers one by one. You click “Send to N not sent”, confirm, and each one gets its invitation email. Cards move from not sent to pending, and to responded when they answer; the filters count how many are in each status.
- Import suppliers from a spreadsheet
- Bulk send with a count of sent and failed
- Filters: not sent, pending, responded and expired
Your supplier answers in its portal, with the evidence on the same question
The supplier opens your company’s supplier portal and sees your questionnaire by section, with its progress. It answers each question with one click and, if the answer scores and you asked for evidence, the document becomes required: it cannot submit without it. Changes save automatically and it can come back later.
- Progress bar and answers by section
- Documentation required or optional depending on the answer
- Autosave and submission for your review
Declarations from your packaging suppliers, unit by unit
In a PPWR project you invite each supplier from its row, pick the email language and see whether it is not invited, invited or active. Its record shows the packaging units assigned to it and its survey, with the fields completed, the required ones still missing and its status: draft, submitted or validated.
- Invitation with the email in Spanish or English
- Packaging units assigned to each supplier
- Survey applied to its packaging units
What each framework needs from your suppliers
Almost every sustainability framework ends up reaching your supply chain. What changes is what you have to ask, from whom, and what proof you need to keep.
What the VSME is and the value chain cap- 15
Scope 3 categories
The GHG Protocol splits Scope 3 into 15 categories. Purchased goods and services is category 1.
- 1,000
Employees: the value chain cap
After Omnibus I, you cannot require more than the VSME standard’s data for your CSRD report from a supplier with 1,000 employees or fewer.
- 12 Aug 2026
PPWR applies
From that date you need the conformity documentation for each packaging item, which your supplier usually holds.
- 30 Dec 2026
EUDR applies
Medium and large companies must prove the origin of each batch, with data that depends on the supplier at origin.
| Framework | What you need from suppliers | How you ask for it in Dcycle |

| EcoVadis | How you assess and monitor your suppliers on social and environmental practices, under the sustainable procurement theme. | A risk score per supplier, approval decisions and improvement actions, with their history. |
| PPWR | The declaration of conformity for each packaging item: heavy metals, PFAS, recycled content and recyclability, with their reports. | A PPWR project with a survey per packaging unit; the supplier declares once for several units. |

How Dcycle calculates the Scope 3 of your purchases
Scope 3 comes from your purchases, not from the questionnaire. The portal tells you which suppliers measure their footprint and brings you their report; the figure is calculated with one of these three methods per purchase.
- 1Supplier activityThe supplier’s sector code (NACE or SIC) is matched to an EXIOBASE category and applied to the amount spent.
- 2Product descriptionLeia reads the description of each purchase and matches it to an EXIOBASE product category; with a physical quantity, to an ecoinvent dataset.
- 3Supplier factorIf a supplier gives you its emission factor, you load it as a custom factor for that supplier and it is applied to its purchases.
How a supplier campaign works in Dcycle
From the first question to the decision on each supplier, in the same project.
- 1Define the questionnaireIn Risk model you create the risk types and their questions, give points to each answer and mark which questions require the supplier to attach a document.
- 2Import your suppliersFrom a spreadsheet or one by one, with their contact. Duplicate rows in the file are skipped and existing suppliers are left untouched.
- 3Send the invitationWith a response deadline, language, subject and body. The email includes the access button, the deadline and the signature.
- 4The supplier answersIt creates its supplier account from the link, answers in the portal, attaches its documents and submits. If it loses the link, it requests a new one with its email.
- 5You reviewYou validate its answers or request changes with a note. The supplier sees the note in its portal, corrects and submits again.
- 6You decideWith its risk score and category you decide on approval and its review date, and create improvement actions with an owner and a due date.
Frequently asked questions about supplier engagement
How does Dcycle calculate Scope 3 supplier emissions?
From your purchases. Each purchase takes its emission factor from the supplier’s activity (its NACE or SIC code matched to EXIOBASE and applied to the amount), from the product description, which Leia matches to an EXIOBASE category or to an ecoinvent dataset when there is a physical quantity, or from an emission factor the supplier itself has given you, loaded as a custom factor for that supplier. The supplier portal does not calculate emissions: it tells you which suppliers measure their footprint and brings you the document.
Do my suppliers need a Dcycle licence?
No. They receive an invitation email, create their supplier account from the link and answer in the supplier portal, which is free for them. Nothing to install. If they lose the link, they request a new one with their email.
Can I track which suppliers have responded to data requests?
Yes. Each supplier shows as not sent, pending, responded or expired, with filters and a count per status, and the project Dashboard shows how many you have invited, how many have responded and how many you have validated. You resend the questionnaire to non-responders from their record, and it is logged as a reminder in their activity.
How does supplier scoring work?
Each answer in your questionnaire is worth the points you give it in the risk model. From them Dcycle calculates a score from 0 to 100, a risk level (low, medium or high) and the category you define by minimum percentage; by default from A, preferred supplier, to D, high-risk supplier. Based on that result Dcycle suggests an approval decision, but the decision is yours.
What does the supplier see when it opens the questionnaire?
Your company’s supplier portal, in the language it chooses (Spanish, English, Portuguese, Catalan, German, Italian or French), with your questionnaire by section and a progress bar. Its answers save automatically, it can leave and come back later, and if you asked for evidence it attaches the document on the same question. When it submits, it sees that its response is pending review.
What if I’m not happy with an answer?
You request changes from its record and write what needs fixing, for example “attach your current ISO 14001 certificate”. The supplier sees your note in its portal, corrects and submits again. When it is right, you validate its answers and it gets notified.
Can I use it to collect PPWR data from my packaging suppliers?
Yes. In a PPWR project you assign each supplier its packaging units and invite it. In its portal it sees its packaging, answers a declaration of conformity (heavy metals, PFAS, recycled content and recyclability) with its reports and applies it to every unit it covers. You see the status of each survey and validate it.
And for the EUDR?
For the part that depends on your suppliers, yes: you send them the questionnaire, they attach their documents and you see who has responded. Plot geolocation and the due diligence statement are not done in the portal; Dcycle’s team supports you with that part.
